Chestertons Polo in the Park is a major event within the annual polo calendar, attracting corporate guests, family audiences and hospitality attendees across multiple event days.

The event requires comprehensive operational planning, communications infrastructure, accreditation management and coordinated event control support across build, live event and de-rig phases.

The Challenge

As a premier event in the annual polo calendar, Chestertons Polo in the Park attracts thousands of corporate, party going and family audiences.

The event required rigorous accreditation arrangements throughout the three week rig and de-rig period, effective and reliable radio communications, event phase accreditation, temporary Wi Fi, CCTV support, contingency planning and a multi agency exercise involving borough partners.

Approach & Solution

Controlled Events has supported Sportgate International in delivering Chestertons Polo in the Park since 2014 and remains involved from the earliest stages of planning each year.

The team provides a comprehensive accreditation system, ECR Manager incident logging platform and radio communications for both the build period and live event operations.

An annual table top exercise is delivered seventy two hours before the event, enabling all partners and stakeholders to validate plans, confirm procedures and test responses using multiple incident scenarios.

During the live event, more than one hundred radios are distributed across key operational departments while the Event Control Room manages six dedicated radio channels and maintains a comprehensive operational log throughout the event.

The combination of communications infrastructure, accreditation management, operational coordination and experienced Event Control Room support has helped Sportgate International safely manage increasingly complex event operations and large scale audiences.

The partnership has now delivered eighteen days of Event Control Room operations since support began in 2014.
