“Rob and the team constantly went above and beyond in their support of the event whilst planning the desktop exercises. They gave significant amounts of time to ensure that they understood the full scope of what is a complex brand new event, the key outcomes and the extensive stakeholders that we are engaging with. Although in the first instance they were only contracted to deliver the desktop exercise, they also provided very insightful guidance and suggestions for our wider planning which was gratefully received. They were extremely well prepared on the day and throughout the process felt like an extension of our core planning team which meant that everything operated seamlessly.

We were drawn to Controlled Events as we first worked with Rob at the London 2012 Olympics and were impressed with how he ran the extremely large scale challenging desktop exercises and Command, Control, Coordination (C3) planning. Post Olympics, we were the first company to deliver a large scale public event on behalf of Sport Relief in 2014 in the newly opened Queen Elizabeth Olympic Park. As the first event, we received significant scrutiny for key stakeholders and as such we brought the Controlled Events team on board to deliver our desktop planning exercise. We particularly valued the independent facilitation allowing our planning team to be properly tested whilst also demonstrating to stakeholders how serious we take the planning. Rob’s professional approach ensured that the session was run effectively and achieved all of our desired outcomes.”
Hannah Clark, Event Director, Limelight Sports

The Challenge
Our brief was to support Limelight Sports to plan for and deliver Regatta London and Royal Parks Half Marathon in 2019.

Controlled Events have known Hannah Clark and her team since 2012 where Rob Walley was part of a team delivering readiness exercises in preparation for the London 2012 Olympic and Paralympic Games. Subsequently Limelight Sports turned to Controlled Events for objective and expert readiness support for complex events in the Queen Elizabeth Olympic Park following it’s reopening after the Games.

We have prepared Readiness Exercises, Event Control log system and planning support to the management team on Regatta London as a new event and Royal Parks Half Marathon as a well established central London event.

The Solution

The Exercise audience comprising public bodies, event departments and suppliers experience competing demands of other events, pressures on resources and fatigue from multiple Exercises which often follow a traditional and less inspiring methodology.

Controlled Events pioneered a new innovative which is becoming well established in the Resilience sector using TeamXP to enrich Exercises with a simulation capability whereby participants are challenged by pseudo media (notional tweets, other social media and emails) relating to the scenarios which transform the experience from being a transactional dry Table-Top to re-create the live pressures, feedback and demands of real incidents.

The results
Despite challenging weather conditions which forced the cancellation of Regatta London and challenging protest conditions ahead of Royal Parks Half Marathon we had really positive feedback from managers who took part in the Exercises and utilised the log to share information and to maintain their audit trail.
